AEEIW Field Operations (“the App”) is a private field-management tool provided by AEEIW LTD (“we”, “us”) to its staff and contractors. This policy explains what information the App collects, how it is used, and your choices. The App is intended for authorised users who sign in with an account issued by their administrator; it is not a consumer service.
1. Information we collect

2. How we use information
We use the information solely to operate the App: to authenticate users, record and calculate work and payments, schedule and route jobs, store photo evidence, and keep the service secure. We do not use your data for advertising, and we do not sell it.
3. How information is stored and shared
Your data is stored on AEEIW LTD’s server at aeeiwonline.com and is accessible only
to authenticated users according to their role (for example, engineers can only open files for
their own jobs). We do not share your personal data with other companies for their own purposes.
The App relies on a small number of service providers to function:
- Map tiles are loaded from OpenStreetMap to display the map.
- Approximate location from IP for the security sign-in log is obtained from a third-party IP lookup service.
These providers receive only the technical requests needed to deliver their service (e.g. your IP address) and are not given your account data.
4. Data security
Traffic between the App and the server is encrypted using HTTPS. Passwords are never stored in plain text — they are stored using a salted PBKDF2-SHA256 hash. Access requires a valid sign-in, and repeated failed sign-ins temporarily lock the account.
5. Data retention
We keep your account and work records for as long as you are an authorised user and as needed for AEEIW LTD’s legitimate business and record-keeping purposes. When data is no longer needed it is deleted or anonymised.
6. Your choices and rights
Because accounts are managed by your organisation, requests to access, correct, or delete your personal data should be made to your AEEIW LTD administrator, or by contacting us at the address below. We will respond in line with applicable data-protection law (including the UK GDPR).
7. Children
The App is a workplace tool and is not directed to children. It is intended only for users aged 18 and over.
8. Changes to this policy
We may update this policy from time to time. The “Last updated” date above shows when it was last revised. Continued use of the App after a change means you accept the updated policy.
